This privacy policy explains how Foam & Ink ( "we", "us", "our") collects and uses personal information when you visit https://www.foamandink.co.uk, submit an enquiry, book our drink printing hire service, or contact us by email.

Foam & Ink provides professional drink printing machine hire for weddings, corporate events, private parties and coffee shop openings across the United Kingdom.

Information you give us

When you use our website or communicate with us, we may collect:

• Identity and contact data: name, email address, phone number
• Event information: event date, event type, venue location, estimated guest numbers and any details you include in your message
• Booking information: delivery address, billing details, correspondence about your hire, and records of payments received
• Design files: logos, monograms, artwork, photographs or other content you send for pre-loading onto the machine or for printing at your event
• Communications: emails you send to hello@foamandink.co.uk and messages within enquiry or booking threads

Information collected automatically

If you accept cookies on our website, we collect limited analytics data:

• Pages visited and time on site
• Referring website or search term (where available)
• Device type, browser and approximate location (country/region level)

We also use Vercel Speed Insights to measure how quickly pages load. Those measurements are anonymous: they record the page, device type, browser, network speed and country, and they are not tied to you or to a browsing session. Speed Insights does not use cookies.

We do not use advertising cookies, social media pixels or cross-site tracking technologies on this website.

Guest-uploaded content at events

Where QR selfie upload is enabled at an event, guests may submit photographs via their own devices. Those uploads are processed to produce prints on drinks. We do not use guest uploads for unrelated marketing unless we have obtained appropriate permission separately.

We use personal data to:

• Respond to enquiries and provide quotes
• Confirm, administer and deliver hire bookings
• Pre-load designs, ship equipment and provide event-day support
• Process payments, deposits and refunds
• Send service-related communications about your booking

• With your permission, use event photographs in our gallery or marketing

We do not sell your personal data to third parties.

We rely on the following legal bases under UK GDPR:

• Consent: when you submit our enquiry form, accept analytics cookies, or agree to marketing use of event photos
• Contract: to take steps at your request before entering into a hire agreement, and to perform the hire contract
• Legitimate interests: to operate and improve our business, prevent fraud, and maintain records, where those interests are not overridden by your rights
• Legal obligation: where we must retain records for tax, accounting or regulatory purposes

5. Who we share data with

We share personal data only where necessary to run our service, with trusted providers who process data on our instructions, including:

• Resend: transactional email delivery (enquiry notifications and auto-replies)
• Vercel: website hosting, anonymous page-speed measurements, and, if you consent, anonymised analytics
• Courier partners: such as DPD, to deliver and collect hire equipment (name, address and contact details)
• Stripe: card payments through our payment links and invoices. We do not accept bank transfer. Stripe processes the card details under its own privacy policy; we never see or store your full card number

We require processors to protect your data appropriately. Some providers may process data outside the UK; where they do, we ensure appropriate safeguards are in place (such as UK adequacy regulations or standard contractual clauses).

6. How long we keep data

• Enquiries that do not become bookings: typically up to 12 months, then deleted or anonymised
• Booking records: for the duration of the hire and up to 6 years afterwards for accounting, warranty and dispute purposes
• Design files: for as long as needed to fulfil your booking, then deleted within a reasonable period unless you book again
• Analytics data: retained by our analytics provider according to their default retention settings (typically aggregated and not personally identifiable)

7. Cookies

Our website uses a cookie consent banner. Until you accept, we do not load analytics scripts. If you accept:

• Vercel Analytics may set cookies or use similar technologies to measure page views
• Local storage may be used to remember your cookie preference and whether you dismissed the launch offer banner

Vercel Speed Insights runs on every visit without cookies. It sends anonymous performance measurements (such as loading speed, device type and browser) so we can keep the site fast. Those measurements are not linked to your cookie choice.

You can withdraw consent by clearing site data in your browser settings. Essential cookies required for the site to function are minimal.

8. Your rights

Our services are intended for event organisers aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it promptly.
